Per Pennsylvania law, it is required that all persons having direct contact with school children to obtain background checks and clearances. In the best interest of the safety and security of our students, Hatboro-Horsham School District requires the submission of these clearances prior to volunteering.
To volunteer within the Hatboro-Horsham School District, all clearances must be within one year of the submission date. All clearances are valid for five years once you complete the volunteer process. Please note that it can take up to two to three weeks for volunteers to be fully processed.

- Volunteer Process
There are different points that people may be starting from when applying to volunteer or to update an expired badge. If you reach out by phone, please know that due to this being a team effort, there may be more than one person working on volunteer processing. Sometimes we must check in with another team member before giving out information regarding your current status. We also ask that for this reason, all emails regarding volunteering be sent to the volunteer email address ONLY. When emails are sent to multiple email addresses, and sometimes with multiple names, it holds up the process for you. As always,we thank you for taking the time to volunteer with the Hatboro Horsham School District.
- Response Time
Please allow 48 hours for a HR representative to get back to you. Please be advised that response times may increase during peak season. There are several peak times during the school year: the beginning of the school year, springtime, holiday parties, annual school events, and at the end of the school year. To reduce the turnaround time, it would be greatly appreciated if you could complete the volunteer process early during the school year.
- Volunteer Processing Events
During the school year, we will have two volunteer processing events, one in April and one in October. The event dates/times will be posted on this page for you to view ahead of time. If you attend one of our processing events, please make sure you bring all required clearances.
- Primary School
When you submit your clearances, and headshot (if a brand-new volunteer), please let the HR representative know which school you will be primarily volunteering at.
Once you have obtained your clearances, please send them directly to Volunteers@hatboro-horsham.org
Picture ID:
Once your clearances are received and approved, we will make you a volunteer badge based on a picture of your submission. Please submit a clear picture of your face. We suggest a picture from about shoulder length which shows your face clearly. Using a solid background behind you if possible.
